• Payment information: When applicable, payment details are processed by third-party providers (Stripe, Zelle). We do not store full payment card details.

• Service providers: We use third-party services like Twilio (telephony), VAPI (AI voice), Supabase (database), Cal.com (scheduling), Resend (email), and Netlify (hosting) to deliver our services. These providers process data on our behalf under their own privacy policies.
• Legal requirements: If required by law, court order, or to protect rights and safety.
• Business transfers: In the event of a merger, acquisition, or asset sale, your information may be transferred.

4. Data Security

We use industry-standard security measures including HTTPS encryption, encrypted databases, and access controls. However, no system is 100% secure. We cannot guarantee absolute security.

6. AI & Automated Decision-Making

Our AI receptionist services use automated systems to interact with callers. Conversations may be recorded and analyzed to improve service quality. Callers are informed they are speaking with an AI when applicable. We do not use AI for decisions that produce legal or significant effects without human oversight.

7. SMS / Text Messaging Communications

SmartSite Studios sends SMS text messages on behalf of itself and its small business clients (such as plumbers, HVAC companies, electricians, roofers, and other trade businesses) to their customers and leads.

When you provide your phone number through one of our online forms, complete a service with one of our clients, or otherwise opt in, you consent to receive automated SMS messages from SmartSite Studios or its clients.

Types of SMS messages you may receive include:

• Appointment confirmations and reminders
• Service status updates and ETA notifications
• Missed call text-back replies
• Review request follow-ups after a completed service
• Customer support and account-related communications

Message frequency varies based on your interactions and the services scheduled. Standard message and data rates may apply, and your wireless carrier may charge you for receiving messages.

To opt out of SMS messages at any time, reply STOP to any message you receive. You will receive a one-time confirmation message acknowledging your opt-out, after which you will no longer receive SMS communications from that sender.
